Privacy Policy

This policy explains what personal data the SoftwareWale Timetable Planner collects, why, where it is kept and how to get it removed. It applies to the Service operated by SoftwareWale, KKR Enclave, Annasandrapalya 1st Cross, Bangalore 560017, Karnataka, India.

1. Who is responsible for what

For the school administrator’s own account details, SoftwareWale decides why and how the data is processed.

For the teacher and class information a school enters, the school decides what to enter and why; SoftwareWale processes it on the school’s behalf and only to provide the Service.

2. What we collect

From the administrator

  • The email address and basic profile returned by Google when you sign in. We use Google sign-in so that we never handle a password.
  • Institution details you enter: school name, address, board, contact details, logo.
  • Basic operational records: sign-in times, actions taken in the product (an audit trail), and export activity.

Entered by the school about its staff

  • Teacher names, and optionally a contact number and email address.
  • Teacher availability, subjects taught and workload limits.

That is the whole of it. The Service needs no student data at all — no student names, no marks, no attendance — and you should not enter any.

Payment

Payments are handled by Razorpay. We receive a payment reference, the amount, the plan and whether the payment succeeded. We never receive or store your card number, UPI PIN, CVV or bank credentials.

3. Why we process it

  • To build, validate, publish and export your timetables — the Service itself.
  • To bill you, and to issue invoices you can give to your accounts department.
  • To keep an audit trail of changes, which is what lets us investigate a problem.
  • To contact you about your account, billing or a service issue.

We do not sell personal data, we do not share it for advertising, and we do not use your data to train machine-learning models.

4. The timetable solver receives no personal data

Timetable generation runs on a separate computation service. What it receives is a purely numeric description of the problem: how many classes, how many periods, which numbered teacher can take which numbered subject, and which slots are unavailable.

No names, no contact details and no institution identity ever reach it. Teachers, subjects, classes and rooms are replaced by integers before the request leaves our database, and the result is mapped back afterwards. If the solver’s logs were read by anyone, there would be no personal data in them to read.

5. Where your data is stored

In a managed PostgreSQL database provided by Supabase, hosted in ap-south-1 (Mumbai, India). The application is served by Vercel. Uploaded logos are stored in the same Supabase project.

6. Who we share it with

  • Supabase — database, authentication and file storage.
  • Vercel — application hosting.
  • Google — sign-in only, when you choose to sign in with Google.
  • Razorpay — payment processing. They receive what they need to take the payment; we pass them no teacher data.
  • Amazon Web Services — the timetable solver, which as described above receives no personal data.

We will also disclose data if we are legally required to. We have no other recipients.

7. Share links

The Service lets you create a link that shows one timetable to someone without an account — for a staff noticeboard, for example. Anyone with the link can see that timetable, so treat it as public. Share links carry no teacher contact details and no institution settings, can be given an expiry date, and can be revoked at any time.

8. How long we keep it

  • While your account exists — your timetable data is kept so you can come back to it, including after a trial or subscription ends.
  • After deletion — we delete your institution and its data. Audit records and invoices are retained, because we are required to keep financial records and because an audit trail that can be erased is not an audit trail.

9. Your rights

You can ask us to give you a copy of your data, correct it, or delete it. Most of this you can do yourself: exports are built into the product, and institution details are editable. For anything else, email hello@softwarewale.in and we will respond within 2 working days.

If a teacher whose details a school has entered asks us directly, we will refer them to their school, because the school decides what is held about them. We will help the school act on it.

Deleting your account deletes your timetables. There is no undo and no recovery window. Export anything you want to keep first.

10. Security

Every institution’s data is isolated at the database level, so one school’s account cannot read another’s. Access requires a signed-in Google account. Traffic is encrypted in transit. We do not store passwords, because we never issue any.

11. Children

The Service is used by school staff, not by students. It is not directed at children and we do not knowingly collect data about them.

12. Changes

If we change this policy materially we will say so inside the product before the change takes effect.
